The smallest text should occupy between 15 and 20 arc minutes for the furthest viewer. So first measure or compute for each font size in point the actual size when projected on the screen in a specific room. Then measure the distance between the farthest chair[1] to the screen in that room and apply the formula to find the font size that falls between 15 and 20 arc minutes. That gives the smallest font size that should be used for slides, transcription, etc... for that room. That does not even need involvement from the secretariat as this can be crowdsourced (assuming someone get their hand on a laser measurement tool), with the result per room distributed in the attendee mailing-list. [1] The type you sit on, measuring from the farthest Chair would be useless. Or you can ask the Chair to sit on the farthest chair to do the measurement, so to remove all ambiguities.
